Marissa Public Library Meeting Minutes

January 2017

Call to order at 6:05 pm

Those present:Carol Mercer, Jill Prest, Deb Martinez, Pam Runyon, Natilie Krause, and Robin Geralds.  Warren trotter arrived at 6:10.

Jill made a motion to accept the minutes, seconded by Deb- motion passed.

Correspondence-Thank you card from the Miesners for having an enjoyable library.

Treasurer’s report – Deb made a motion to accept the treasurer’s report and pay the upcoming bills, seconded by Jill – motion passed.

There is a board opening – we are still looking to fill John’s position.

Moving side – a group spent the last week of December moving the children’s and adult sides of the library.

Meeting dates – Pam made a motion to accept the monthly dates of the meetings for 2017.  Seconded by deb – motion passed.

We are in need of an electrician, maintenance and janitor position.  Linda Henson has asked about the janitor position.  The personnel committee recommends Linda Henson for the janitor position.  A motion was made be Pam to accept the recommendation, seconded by Jill – motion passed.

Donation box – We would like to use the money collected  from the donation box to buy a rug or foam mats for the children’s side.

Floors- Robin is asking Robb Cobb about estimates to clean both sides of the library floor.

little libraries – All 3 libraries have been made.  The art club need money for paint.

September 22, 2016

Call to order at 7 pm

Jill made a motion to accept the minutes as edited, seconded by Debbie- motion passed

Thank you card from Robin

Rachel Rheinecker sent a resume.  We will forward it to the personnel committee

Debbie made a motion to accept the Treasurer report and pay the upcoming bills, seconded by Pam- motion passed

Debbie made a motion to put our books for free at the community yard sale since we are overwhelmed, seconded by Warren- motion passed

We are working to get committees together

The minutes have been audited by Carol and Deb.  Pam made a motion to accept the changes that need to be made.  January 27 minutes the year is corrected to 2016.  In March the date was the 23rd and it needs to be the 24th.  Warren needed to be added officially.  The motion was seconded by Deb- motion passed

Since no public cam to argue the Budget an Appropriation Ordinance Warren made a motion to officially accept the seconded by Deb- motion passed

Discussion was held on budget amounts

Carbondale Library had a sale.  Kay got leap pads, Halloween decorations and signs for free.

Change in the policy- We need to add expense amount search warrant a pregnancy- maternity

leave.  Takes care of the Chapter 6 access

Adult programs- Carol suggested yoga for older adults.  Tarot card- we had people ask about so we may do it again.  Would like to have more fun programs

TWIGS- Went really well.

Statement of economic interest

Carol and John term is up and they need to run again.  Warren and Deb need to run since they were only nominatedGrant-Deaconess Literacy Grant.  We received it for the reading club

Working cash fund ordinance- Last year for it

Pam made a motion to dissolve the old working cash fund and adopt a new working cash fund that we can levy for that will last 4 years, seconded by Jill- motion passed

Discussion was held about Trunk or Treat- we will follow last year’s precedent

CD’s earned interest.  One earned $144.39 and the other was $115.31

Debbie made a motion to move the October meeting to Wednesday, October 26

We talked about possible donation for faxes

August 25, 2016

Meeting called to order at 7pm

Jill made a motion to accept the minutes, seconded by Debbie- motion passed

We received a Thank you note from Mr. Whipple for the Back to School Backpacks

Jill made a motion to accept the Treasurer’s report and pay the upcoming bills, seconded by Debbie- motion passed

The paper cutter was looked at and a new one was purchased

Copier- Pam made a motion to purchase the Lanier copier from Da-Com that was recommended by Andrew, seconded by Debbie – motion passed

Pam made a motion that we accept the Building and Maintenance Ordinance and have it published in the paper, seconded by Debbie-motion passed

Washington County taxes will be coming in the amount of $15,395.30

Rushing for the Cure- Pam made a motion to make a basket and donate $25, seconded by Debbie- motion passed

TWIGS is getting a grant for refrigerators for product.   They asked if we were interested in one.  Warren made a motion that the library get one, seconded by Jill- motion passed

We looked at Chapter 6 access and we have members looking into issues

Debbie is going to audit the minutes

Policy on expenses and reimbursements will be looked at next month

Carbondale Public Library- Kay is willing to go to a surplus sale to get things.

Debbie made a motion to accept the Treasurer report and pay the upcoming bills, seconded by Warren- motion passed

Federal Holiday Policy- A motion was made by Debbie, seconded by Pam stating if the holiday falls on a day that an employee would normally be scheduled off, they can pick a day during the same week with pay as long as no one else is already off. – Motion passed

Website is up and running smoothly. Patrons are able to check on books in our library, reserve books at other libraries, etc.…

The audit is still a work in progress but we are getting closer

Cookbook- Linda Henson has been put in charge of it and is working on it

Copier contract is upon our printer. We are looking at our options

Mold expert- we need to find someone to come look at the library tutor room

The board is looking into our options of switching the adult and children sections of the library

Back to school event- We have things to give away- paperwork for reading club, toddler club info and the monthly calendar. Kay will be there.  It’s August 11 from 2-7 at the High school

We need the blade sharpened on the paper cutter

Pam made a motion that the Library purchase 1 t-shirt for the staff that is reasonably priced, seconded by Jill- motion passed

Discussion about Federal Holiday issue was tabled

Tutoring room is organized

Summer reading is going awesome. The kids are enjoying it

Prevailing wage-Pam made a motion to accept the Prevailing wage ordinance and print it in the paper, seconded by Debbie-motion passed

Nonresident fee-Pam made a motion to change our nonresident fee, seconded by Debbie- motion passed. According to the formula determined by the state our non-resident fee needs to be raised to $35

If there are 3 or more people at a committee meeting minutes need to be taken. Executive sessions can be kept confidential for 20 years..

Starting the new fiscal year minutes have to be electronically filed on the website.

Trustee training can’t be watched. The WI-Fi antenna is broken on the cart.  A new one has been ordered.
